A service for reserving library materials

A service for reserving library materials for use only in the library, for a certain period or overnight.

       1.   Recommended / supplementary books on Short Loan

  • Lecturers shall be allowed to reserve information resources for different reasons, which shall be put on Short Loan for identified period.

  • Short loan information resources may be borrowed during the day, overnight or over weekends.

  • Loan period shall be two (2) hours, and may be renewed for a further two (2) hours provided no other client requires the information resource.

  • Information resources borrowed overnight are collected an hour before closing time and returned by 10:00 the following day.

  • Weekend (Saturday) loans shall be returned on the next Monday by 10:00, after which fines shall be charged.

  • Graded readers shall be issued out for up to seven days.

  • All recommended and prescribed materials (books) are made available in the Short Loan collection.

  • A Reservation Form (Print or online) shall be filled in, indicating the date the information resource should be placed and the date it should be removed from Short Loan.

  • A maximum number of three (3) copies of a title shall be allowed on Shortoan at a time.

  • Books remain in the collection for periods specified by lecturers, after which such materials are taken into the main collection again.

  • Recommendations by lecturers for additional copies of recommended materials are made by the lecturers.

  • The Library shall keep statistics of usage of such information resources

       2. Prescribed books (textbooks) on short loan

A collection consisting of material that have been prescribed by lecturers for a certain period.

These are information resources that have been prescribed as core resources for different courses. The Library acquires these information resources and put them on short loan as a permanent location, until they are no longer prescribed.

  • The Library shall obtain all prescribed books as enlisted in study guides, purchase one copy only and place them on short loan.

  • Short loan information resources may be borrowed during the day, overnight or over weekends.

  • An online or print “Reservation Form” shall be filled-in, indicating the reservation period date, after which the reserved information resources shall be removed from short loan.

  • A maximum number of three (3) copies of a title shall be allowed on short loan, at a time

  • Loan period shall be two (2) hours, and may be renewed for a further two (2) hours provided no other client requires the information resource. There is no limit to the number of times an information resource may be consecutively renewed, as long as there is no hold on it for another client.

  • The Library shall keep statistics of usage of such information resources.

  • Information resources borrowed overnight are collected an hour before closing time and returned by 10:00 the following day. Weekend (Saturday) loans shall be returned on Monday by 10:00, after which fines shall be charged.

            3.    Negligence in the use of information sources

Clients shall be charged fines for negligent use of information resources. Borrowing privileges shall be suspended without notice until the account is paid in full or information resources have been returned or replaced. The client shall be required to submit proof of payment for any charges to be cleared on the library system.

            4.     Overdue information resources

  • The Library shall send three (3) reminders to all clients using e-mails, as follows:

    • The first reminder that serves as a courtesy reminder two (2) days before the due date.

    • The second reminder a week after the due date; and

    • The third reminder a week after the second reminder was sent.

  • A library client who does not return information resources on or before the due date shall be liable for a fine. Library users shall be liable to pay a fine on borrowed library materials from the loan section, short-loan/reserved section or study collection, not returned within the stipulated loan period. Fines shall be charged a day after the due date, accumulative until information resources are returned (See Library Tariffs).

  • A week after the third reminder has been sent, the client shall be charged either accumulative fines or the replacement cost of the information resource.

  • Failure to respond to reminders shall result in the following:

    • Debit all charges from the student’s account or withhold the student’s degree certificate until payment has been effected.

    • A staff member The University shall have the right to recoup Library charges from pension funds of staff members who are leaving the employment of the university.

    • Take legal action with all costs to be borne by the client.

The Library shall reserve the right to suspend membership until all checked-out information resources have been returned and/or fines paid. The client will be blocked and will have no access to online information resources.

5. Payment of lost information resources (Lost and Paid)

  • Library clients who do not return information resources shall be liable for their replacement costs, or shall be allowed to purchase and supply a replacement copy plus handling/processing fees as determined by the Library (See Library Fines & Fees).

  • A student who fails to pay for the loss shall have his/her degree certificate withheld by the university.

  • A staff member who fails to pay for the loss shall NOT have his/her “Clearance Certificate” signed off by the Library. The University shall have the right to recoup Library charges from pension funds of staff members who are leaving the employ of the university.

         6.   Damage to information resources

  • A client who has caused irreparable damage to information resources shall be liable for replacement and processing costs as determined by the Library.

          7.  Theft of information resources

  • Any client found in unlawful possession of information resource(s) shall be taken through a disciplinary process, with appropriate remedial action meted out, depending on the severity of the transgression.

  • Any client found in possession of a stolen information resource shall be liable for the replacement cost and be suspended from the library services deemed by the Library management.
