Getting started with Evasys

Access Evasys online by going to https://surveys.ufs.ac.za. Make sure your browser pop-up blocker is turned off.

You will navigate Evasys options by using the Main Menu (horizontal menu at the top) and the Side Menu (vertical menu on the left).

Start creating your questionnaire by selecting Create questionnaire from the Side Menu.

Select the VividForms Editor on the left.

A form wizard will guide you in creating your questionnaire.

You can now start adding elements to your questionnaire.

Start by adding a Question Group.

Now you can add different questions and other elements.

When you are finished creating your questionnaire, click on Save and Exit at the top of your page.

To access your questionnaires, go to Actions in the Main Menu and select Own questionnaires in the Side Menu. Click on the questionnaire you want to access.

 

Question groups are like the chapters of your questionnaire. All questions and items are stored in a question group - there can be no question without a question group.

To add a question group, click on Add Question Group in the Section Add of the editor. A wizard will pop up to guide you.

After clicking Apply the question group will display in the preview.

You can now add questions to your questionnaire.

Each question has a defined question type and a special analysis. There are seven different question types. The question types define the layout and analysis of your questionnaire. You can also add text boxes for explanation texts or design elements like pictures, line spaces, separators and page breaks.

  1. Scaled questions
  2. Open questions
  3. Single choice questions
  4. Multiple choice questions
  5. Ranking questions
  6. Segmented handwriting (ICR)
  7. Matrix field

To add a question, click on Add Question in the Side Menu.

A question wizard will guide you through the question types.

To preview a questionnaire, select either Paper Preview or Online Preview from the top menu.

To generate an online survey, select New Survey from the Side Menu. Give your survey a name and create a folder to store your survey. If you have already created folders to manage your surveys, select an existing folder.

Choose the questionnaire you want to use and click on Next.

Choose the survey type and click Next.

There are three kinds of online surveys:

  • Individual Password - a password is provided for each participant. The password can be printed and distributed to participants or sent by emails. Participants can only take part once, after which the password becomes invalid.
  • General password - a general password is used for the whole survey which can be distributed to all participants. Any number of participants can be included and participants can take part multiple times.
  • You also have the option to Specify a general password which you can send to your participants.

Now that you have selected your type of online survey, click on Next. You can now choose a template for the look and feel of your survey. You can also activate forwarding to take participants to a specific URL of your choice. Click on Next.

You will be asked to confirm you survey configuration. Click on Generate survey if you want to go ahead without making any changes.

The survey will now display in your survey list. Click on the Details icon next to your survey name. You will be able to download or email passwords.

More passwords can be generated should the initial passwords not be sufficient. You can generate more passwords in the details of the survey. Enter the amount of additional passwords and click on Generate under Actions.

To generate a paper survey, click on New Survey from the Side Menu. Give your survey a name and save it to the folder of your choice, or create a new folder to manage your surveys. Click on Next.

 Select the questionnaire you want to use and click on Next.

Choose Paper survey as your survey type. Click on Next.

Select the method and additional options for your paper survey. Click on Next.

Confirm your survey configuration. When you are ready, click on Generate survey.

You will now see the paper survey in your survey list.

Evasys Scanstation allows you to scan printed and filled questionnaires with the help of a document scanner. Please let us know if you need to scan questionnaires.

To open an analysis of your survey, go to Actions in the Main Menu and select the relevant folder in the Side Menu. The survey will be displayed in the survey list.

Click on the Details icon next to your survey name.

Reports in HTML and PDF can be retrieved in the survey details. The raw data of the survey can be downloaded as a CSV or SPSS file.

Tips for using Evasys

Page numbering is determined by the questionnaire settings. In the example below, these settings determine that the survey be split in pages based on the question groups.

The options available here are:

  • Complete: this will show the entire survey on the first and only page, with no tabs and no pages showing in the survey.
  • Per Question: this will show tabs at the top of your survey, with every question in the questionnaire shown on a separate page.
  • Per Group: this will display every question group on a separate page/tab.
  • Per Page: this will simulate an A4 page length and split the survey in pages of the same size.

The settings to visualise the percentage completed of a survey are available in the Online Template. From System Settings, go to Online Templates to find a list of templates. The setting for showing percentage complete is activated or deactivated here:

Important: Online Templates cannot be used for specific questionnaires. They are used per Subunit, so you can assign a specific online template for a subunit. All online surveys in that subunit will use that template and changes made to it will mean changes to all surveys in that subunit. Rather choose or create your own online template, make the changes you require, and do not assign it to a subunit.

When you generate your survey, go to the survey's details page and change the online template this particular survey will use. You also have an option to change the layout of the survey for this specific survey. You can suppress the tabs and pages and run the survey as a full page without changing the questionnaire's default settings.

To delete a question in your questionnaire, select the question you want to delete so that it is highlighted. Under the Editor Control tab in the side menu, open the Clipboard options by using the option arrow next to it. Click on Delete to delete your highlighted question.

In order to set conditions/rules in your questionnaire, go to Filter settings under Form Properties in the side menu (under the Editor Control tab).

The Filter setting should open in a new window/tab. Select the question for which you want to create a filter/condition/rule from the drop-down menu and click on Add.

Add the filter settings by selecting the relevant answer to your question and the action that must follow, for the drop-down menu. Click on Save.

If you are using commas in your header questions, remember to use the semi-colon (;) as your field delimiter in CSV/Excel. This will help you avoid splitting up one question into multiple columns when using the comma as the field delimiter.

Are your responses not showing in the specific column in which the question is listed? Do all your responses show in one cell? Try the following when opening your CSV file in Excel:

  1. Highlight the first column with your data.
  2. Click Data.
  3. Click Text to columns.
  4. Select Delimited, then click Next.
  5. Select Semicolon, Comma and Space as the delimiter.
  6. Click the next qualifier dropdown and choose the full-stop option.
  7. Click Next and then Finish.

Here are a few of the frequently asked questions from the Evasys website:

Can I conduct online and paper surveys with Evasys?

Yes, in Evasys you can easily switch between online and paper surveys at any time and also conduct your surveys in combination as a hybrid survey. This gives you maximum flexibility for your survey projects.

What is a hybrid survey?

Hybrid surveys allow surveys to be conducted as a combination of paper and online surveys. Participants receive both a paper questionnaire and a PSWD and thus have the choice between participating in a paper or online survey. If the PSWD is used up, the paper questionnaire is no longer evaluated and vice versa.

What is the difference between PSWD-based survey and single password survey?

In the PSWD-based online survey, each person who is supposed to take part in the survey receives their own PSWD in order to log into the online survey accordingly. The PSWD thus assigns a unique authorization to participate in the survey. A single password survey, on the other hand, is freely accessible to anyone who receives the link to the survey. Single password surveys are often used to get the opinion of an unknown group of participants. In evasys you can use both methods flexibly.

Which question types are available?

In evasys, you have a large selection of different question types, including scale questions, open-ended questions, ICR questions for handwriting recognition, single choice and multiple choice questions, ranking questions, matrix questions, and grade value questions. In addition, extensive filter options, plausibility checks and the definition of required questions are available to you in order to be able to implement complex survey projects.

Can I use a questionnaire more than once?

Yes, you can reuse your questionnaire template for numerous surveys. In order to automate your survey projects as much as possible, the reuse of a questionnaire or certain groups of questions is even recommended in order to benefit not only from a high time saving but also from the comparability of results.

Can I evaluate events with several instructors in one survey?

Yes, the module survey function generates several individual surveys that are combined into one questionnaire but evaluated separately. This function is often used in practice for surveys of continuing education measures with several instructors or for large projects with multiple individual surveys. This makes your survey processes much more efficient.

How privacy compliant is the system?

We develop all our products according to the principle of “Security by Design”. This means that we fully consider data security and privacy in every feature. Evasys has numerous methods to ensure the anonymity of participants in a survey, regardless of the medium. Evasys customers also have access to their own, constantly updated security manual, where questions about data security and data protection can be answered at any time. Our data protection officer is also available to answer any questions.

Is Evasys barrier-free usable?

Yes, barrier-free online surveys can be designed in evasys. There is a mechanism in evasys that checks whether an existing online survey is accessible according to WCAG 2.1 Level AA. If this is the case, a compliance logo is displayed in the footer of the online survey. In order to ensure accessibility in the future, our online surveys are regularly checked (for each release of a new version) by an external consultant for accessibility according to WCAG 2.1 AA.

Can Evasys be integrated into learning platforms?

Yes, with the LTI® interface evasys can be integrated into basically any learning platform (including LMS/CMS). Through the integration, students are automatically invited to surveys, reminded and thus motivated to participate. Instructors can access response rates and survey results directly in the LMS.
